Dealing with complaints

Complaints may be submitted verbally or in writing. Contact customer service. Written complaints may also be submitted to post offices, in-store sub-post offices or rural delivery agents. Posten must provide guidance on the complaint procedure and help to formulate complaints in writing if you so request.

If possible, decisions on verbal complaints are made on the day on which they are received.

Decisions on written complaints must generally be made within 14 working days, and within 30 working days at the latest. If conditions make it impossible to meet the 14-day deadline, a provisional response must be given providing information on the anticipated processing time.

Responses to written complaints must be submitted in writing and reasons must be given for decisions. These reasons must indicate which rules and guidelines have been used as a basis and the assessments that have taken place.

You are entitled to written re-examination of your complaint if the complaint has not been upheld in full.

Purpose

Posten must ensure that all customers:

  • have their complaints dealt with in an equal and predictable manner
  • receive information on where their complaints can be addressed
  • feel that their complaints are dealt with quickly, fairly and in a customer-friendly manner
  • Posten will actively use complaints as a basis for improvements.

You are entitled to have any queries dealt with concerning postal services covered by the Posten license, including service provision and service level. Anyone affected by the services covered by the complaints scheme is able to submit a complaint.

Information on the option of complaining and how to submit a complaint must be available to customers. Information must be provided at all post offices and in-store sub-post offices and on the Posten website.
